Procedure, SOP, approval workflow, SSO: the definitions you need to document your processes.

Procedure

A series of precise steps to carry out a task the same way every time, whoever does it.

SOP

Standard Operating Procedure. A reference document that describes how a task must be done in an organisation.

Work instruction

A detailed, step-by-step description of how to carry out an operation. Often more concrete than a procedure, which can stay general.

Knowledge base

A space where an organisation gathers its guides, procedures and FAQs, so everyone can find information on their own.

Onboarding

Integrating a new employee, or getting to grips with a new tool. Good procedures make it shorter and less dependent on colleagues.

First-line support

First level of support: it handles simple, frequent requests (password, access, installation) and escalates complex cases.

Approval workflow

The steps a document goes through before publication: writing, review, approval. It guarantees that the published version is the reference.

Version

The state of a procedure at a given moment. Keeping the history shows what changed, and lets you roll back.

SSO

Single Sign-On. Users sign in with their company account, with no extra password.

OIDC

OpenID Connect, the standard authentication protocol used by Entra ID, Okta or Auth0 for SSO.

GDPR

General Data Protection Regulation. It governs the collection and processing of personal data in the European Union.

Blurring

Hiding part of a screenshot (email, username, amount) to share a procedure without exposing personal data.
